Remote Workplace Policy

1. Purpose
At Mindscape Health, we believe that caring for people starts from within. Our mission to make mental healthcare accessible, affordable, and culturally relevant extends to our own team culture. This Remote Workplace Policy supports flexibility, inclusivity, and wellbeing while ensuring that all team members remain connected, productive, and aligned with our organizational goals.

3. Eligibility and Approval
Remote or hybrid work may be approved for roles that do not require physical presence, such as engineering, marketing, design, counseling coordination, or operations. Approval is based on job responsibilities, performance, and alignment with business needs. Managers and Human Resources jointly review and approve all remote arrangements.
4. Work Schedule and Availability
- Maintain agreed-upon working hours and be reachable during core collaboration hours (9:00 a.m. to 4:00 p.m. East Africa Time) unless otherwise arranged.
- Flexibility is encouraged to accommodate personal wellbeing and time zones, provided deliverables and communication expectations are met.
- Keep your calendar updated and inform your team of planned absences.
5. Communication and Collaboration
Mindscape Health uses tools such as Slack, Google Workspace, and Zoom for communication and meetings. Weekly team check-ins and one-on-one meetings promote transparency and emotional connection. Communication should always remain respectful, culturally sensitive, and aligned with our mission.
6. Equipment and Technology
- Mindscape Health provides essential equipment such as laptops, headsets, and software tools as needed.
- Employees are responsible for keeping equipment in good working condition and reporting technical issues promptly.
- All work should be done using company-approved systems and secure internet connections.
7. Data Security and Privacy
Every team member must uphold strict privacy standards and comply with Kenyan data protection laws. Use strong passwords, enable multifactor authentication, and always connect through the company VPN. Report any security issues to the IT or management team immediately.
8. Workspace and Safety
Employees should maintain a private and professional workspace free from distractions. Work areas must be safe and ergonomically sound. Mindscape Health may offer guidance or virtual assessments to ensure comfort and safety at home.
9. Performance and Accountability
Remote work is built on trust and accountability. Employees are evaluated based on outcomes, collaboration, and contribution, not physical presence. Regular updates and check-ins help maintain alignment and progress.
10. Wellbeing and Mental Health
Mindscape Health values the wellbeing of every team member. Employees are encouraged to take breaks, maintain balance, and use mental health days when needed. Open discussions about mental health are welcomed without stigma.
As a Mindscape Health employee, you are entitled to free mental healthcare services through our platform.
11. Expense Reimbursement
Mindscape Health may reimburse pre-approved remote work expenses such as internet costs, office supplies, or ergonomic equipment in line with the organization's finance policy.
12. Compliance and Consequences
All employees must follow this policy and related IT, HR, and data protection policies. Any violation may result in disciplinary action or revocation of remote work privileges.
13. Review and Updates
This policy is reviewed annually to ensure it remains current with legal requirements, employee needs, and Mindscape Health’s mission to make mental healthcare accessible to all.
